How to Attach and Manage Community Resources in a VTC Event
This article walks facilitators through how to attach community resources to a VTC (Virtual Talking Circle) event in Televeda, and how to manage those resources during a live session. Why Add Community Resources to a VTC Event? As a facilitator, you can share helpful materials directly within a live session, making support more accessible to your participants in the moment. These can include: - Links to local transportation services - PDFs with guidance on finding mental health support - Community program directories - Government assistance or benefits information - Crisis helpline contacts By attaching resources to your VTC event in advance, you can quickly share the right information during a conversation — without interrupting the flow of the session to search for it elsewhere. Prerequisites: An active Televeda account with facilitator privileges, and at least one collection of community resources already uploaded. Step 1: Create a VTC Event Log in to the Admin Dashboard and click Create Event. For the Live Streaming option, select VTC (Virtual Talking Circle) as the streaming option. Set visibility to your preferred audience setting. Step 2: Assign Community Resource Collections In the Default Resource Collections dropdown, select the resources you want to make available. Your own community's collections appear at the top; collections from other communities with public resources are also listed and can be included. Click Save when you're done. Step 3: Facilitate the Event and Click on Resources From your events list, locate the event you just created and navigate to the Facilitator's Page. Configure your session settings as needed, then click Start the Circle. When you're logged in as the facilitator, click on Resources in the bottom nav bar. Step 4: Manage Resources During the Session Once inside the Resources panel, you can add or remove resources, or open any resource in a new browser tab. Classes are Listed in the Wrong Time Zone
Seeing Classes in the Wrong Time Zone? If you go to our lobby, live.televeda.com, the classes will always be listed in your current time zone. If you move to another state or country, the class times will update automatically. If this is not true for you, your device may be in the wrong time zone. The easiest way to check this is to Google: 'What is the time now?" and compare that to the time on your device. If the times are not the same, your device time is wrong, and you need to change your settings by following the steps below. To reset the time on a Mac, follow these steps: - Click on the Apple menu in the upper-left corner of the screen - Select "System Preferences" - Click on "Date & Time" - Click on the lock icon in the lower-left corner of the window and enter your username and password - Click on the "Set date and time automatically" checkbox to turn it off, if it was already on - Click on the "Time Zone" tab and select the correct time zone - Check the box that says: "Set time zone automatically using current location." - Click on the lock icon again to prevent further changes To reset the time on a Windows computer, follow these steps: - Open the Settings menu by clicking on the Windows icon in the taskbar and selecting "Settings" (gear icon). - Click on "Time & Language." - Click on "Date & Time." - Turn on the toggle under "Set time zone automatically." How to Add an On-Demand Event as a Televeda Instructor from the Feedback Survey This guide explains how Televeda instructors can publish a class recording as an On-Demand event by reviewing it, editing the details, and publishing it so it appears on the On-Demand page. - Navigate to the admin dashboard: https://live.televeda.com - Go to Schedule → Live Events. - Make sure the Automatically Create On-Demand Events toggle is enabled. Navigate to Admin Dashboard and Enable Toggle - Open the recording you want to publish (this is the recording created after the class). - Preview the recording. - Edit the details (title, summary, description, etc.). - Click Save, then Publish. How to Moderate Participants as a VTC Facilitator How to Mute a Participant and Turn off Their Camera It's important to note that in VTC (talking circles), the mute and unmute features work differently for participants compared to live Televeda classes. Participants can always turn on their cameras even if they don't have the token, but they can only unmute if they have the token. If you ever need to turn off the camera or microphone for a participant, follow these steps: 1. Click on the three ellipses next to their name in the Participants tab. 2. Click on Mute to mute them or Stop Video to turn off their camera. 3. You can also unmute them and turn on their camera again from the same menu. Please note: If you mute a participant, they can unmute themselves on their side. In a talking circle, a participant can always turn on their camera even if they don't have the token, but they can only unmute if they have the token. How to Remove a Disruptive Participant To remove a disruptive participant: 1. Click on the three ellipses next to their name in the Participants tab. 2. Click on Remove from Session. How to Moderate the Chat To moderate the chat: 1. Click on the X next to any message to delete it. Note: Only the facilitator has this right. How to Moderate Participants in a Live Class This guide will explain how to moderate participants as a host Moderator Panel The moderator panel is located on the left side of the hosting page. Here you have the option to: 1. Remove a participant from the class. 2. Mute a specific participant. 3. Turn off a participant's camera. 4. Mute all participants. 5. Disable video for all participants. How to Boot Out a Disruptive Participant A booted-out participant will be notified that they were removed from the class. Please note that they will be able to join the class again. Master Mute Audio and Camera As the host, you have the option to master mute a participant's camera or audio . If you do this, they won't be able to unmute themselves again. - Master Audio Mute - The participant will not be able to turn on their audio again - Normal Audio Mute - You can mute the audio for a participant, but they will be able to unmute themselves again - Master Camera Mute - The participant will not be able to turn on their camera again - Normal Camera Mute - You can switch off the camera for a participant, but they will be able to turn it back on again Moderating the Chat As the host of the class, you are the only one who can delete messages for everyone. Please cancel a class in advance to prevent a poor user experience. How to Cancel a Class from the Admin Dashboard 1. live.televeda.com/admin and click on Live Events. 2. Select the class on the schedule. 3. Click on Cancel. Cancel a Class from the Class Schedule 4. Click on OK. Click on OK 5. Once the class is successfully cancelled it will be greyed out. How to Facilitate a Virtual Talking Circle on Televeda Please follow these steps to join a Virtual Circle Go to live.televeda.com/host, select the event from the dropdown list, and click on GO. Click OK to continue: - Select a Circle Token - Type a Prompt - Enable Camera Access - Enable Microphone Access - Talk into the Microphone to do an Audio Test When you click on Join Class the event will be live, and members can join from the lobby. Here is what the facilitator side looks like: The virtual circle is limited to 10 members. Please note that members can only join if you admit them. You have the option to admit one member at a time or all members at once. Click on Participants to see the Waiting room. The default starting direction is clockwise, but you can change it if needed. When everyone joins, they will be able to unmute themselves and turn on their cameras. The game officially starts when you pass the token, and only the person with the token will be able to unmute themselves. As the facilitator, you always have the ability to unmute. When playing Clockwise or Counter-clockwise, pass the token to the next member by clicking on Pass Token in the bottom modal. When using the Raise Hand Sharing method, click on the arrow in the bottom modal to pass a token. How to Share a Video with your Class using Screen Share Important Note: Screensharing is available when hosting on any browser. However, for the best experience, we recommend hosting on Chrome. Please note that not all browsers allow you to share a video with sound. Chrome and Edge are the browsers that give you the option to screenshare a video with sound. To share a video with your class click on the "Screen Share" button on your host toolbelt, which can be found towards the bottom of your screen (shown below). After clicking on this button, the subsequent actions will vary depending on the browser you are using and its screensharing design/rules. For the purposes of this article, we will assume that you are using Chrome. Now, simply select if would like to share your entire screen, your window, or just a tab. Why is Audio not Coming Through for the Participants? Sometimes, you might run into issues where no audio is being projected to your participants while you are screen sharing a video to your class. The main cause of this is that you (the host) might be sharing via the "Entire Screen" or "Window" option. Many operating systems, such as Apple and Windows, do not allow for audio to be played on any sharing mode outside of "Chrome Tab." It is for this reason that we strongly recommend all instructors to use Chrome during their meetings to make sharing the easiest. In order to share with audio: 1) Select "Chrome Tab" 2) Click on the tab that contains the video you'd like to share 3) Enable the option "Also share tab audio" From here, you can simply click "Share" and you should be able to seamlessly display the Youtube video for your class to see. Best Practices for Hosting a Televeda Class Tech Set-Up - Start the class 15 minutes early to make sure your tech set-up is good. - Please make sure all other applications and web pages are closed for the best streaming experience. - Please make sure that your computer is charged or charging. - Make sure that you are hardwired with an ethernet cord or that your router is on if you're using a wireless network. - If you're having issues please run an internet speed test by clicking on this link Internet Speed Test. - Your internet service speeds should be in the 10 to 25 Mbps download speed range and at least 3 Mbps upload speed. Step 3: Publish yourself. After publishing yourself you can click on SELECT DEVICE to change your Video and/or Audio input. Step 4: Publish the player's video. The player will receive a pop-up asking to allow microphone and camera access, if they click on 'Allow' they will be published. Once a player has been published you can moderate their camera and microphone here: Step 5: Call numbers by clicking on the random number generator CALL NEXT NUMBER or by clicking on the number itself. Please remember to never call numbers while in presentation mode. Step 6: If someone has bingo, you will see it here: What Members See This is what the members will see, when joining as a venue: If a member has bingo they should click on the orange bingo button. Advanced Audio Settings for Music
Advanced Audio Settings for Hosts This guide will explain what the advanced audio settings do as well as how to access them as a host. Be default all video platforms keep audio compression set for speech. But these don't work well with classes that rely on music. With Televeda, instructors have the capability to host high-quality musical themed programs like Karaoke, Guitar lessons and we've even streamed a wind quartet symphony performance in real-time! The "Advanced Audio Settings" settings are a simple way to set your (the host) audio quality before the start of the class. Audio quality is determined by Bitrate. The higher the Bitrate, the better the sound quality. Bitrate itself is measured in Kilobits per second (Kbps) with the default for class being 48 kbps. You can reduce your kbps to a minimum of 6 kbps or raise it to a maximum of 510 kbps. In order to change the Bitrate for your upcoming class, login to the class selection page (shown below). 1. click on the box next to Use Advanced Audio Settings (see arrow below). From here, a small menu should pop up (shown below) 2. Please also select the Disable Host Audio Processing From here, simply drag the slider until you find a Bitrate that you are comfortable with. The number appearing in the "Set Manually" box is the Bitrate in kbps multiplied by 1000, so do not be alarmed when you see a very large number in that box (48000 = 48 kbps). We recommend that you only change the Bitrate if you have been experiencing issues with your sound quality because increasing the Bitrate will increase the file size of your class recording, meaning that it will take more time to download. Note: To set up a class with the highest resolution, you need to ensure you have a strong internet connection and speed to support it. You can use any popular speed test to confirm. This article will explain how you can use ManyCam as a host Follow the instructions in this article to download ManyCam and get started: ManyCam Beginners Guide To download ManyCam click on this link: Manycam Download Option 1: the Host is using ManyCam (i.e. the instructor is hosting their own class) - Open ManyCam - Go to [live.televeda.com/host](to live.televeda.com/host and host the class as you would normally) and host the class as you would normally - Go to Settings and select ManyCam as the camera source - Click Apply If you see the ManyCam Logo on your host screen, you know it was successful. The host will do the moderating, so if you zoom in and out on the ManyCam app the same changes will reflect on Televeda. Option 2: The instructor joins as a user and someone else is acting as the host - Go to [live.televeda.com/host](to live.televeda.com/host) and host the class as you would normally - The instructor would join the class as a participant by going to lobby at live.televeda.com - When joining via the lobby toggle the camera source to select ManyCam. - The instructor can also change the camera source after joining by clicking on settings and selecting ManyCam as the camera source - The host will pin the instructor so he/she can be on the big screen. If the connection was successful the instructor will have the ManyCam icon on their screen as in the screenshot below. With this set-up the host does not have access to control ManyCam. The instructor will do the moderating, so if you zoom in and out on the ManyCam app the same changes will reflect on Televeda. What if ManyCam is not on the dropdown list? How to Test Out a Class Before It Begins
How to Test Out a Class by Yourself Before it Begins This guide will explain how hosts can begin a class by themselves prior to the real one to ensure that everything is working properly. Before your scheduled class begins, we recommend that you enter the class by yourself to ensure that everything is working properly. To do this, you will need to login as a host and navigate to the class selection window (shown below). Please note that you can only you this on the day of the class. Class Selection Window Find your upcoming class and enter the meeting (Do not worry about other users entering the meeting while you are doing this as they can only enter the meeting at the designated time). From here, locate the "Moderator Panel" (indicated below) and click on it. Now, you should see a menu similar to the image below. Press "Copy Participant URL" (button circled below). You can now either open this link in a new tab and join the meeting yourself as a user or you can send it to someone else and have them join and make sure everything is working smoothly. Make sure you use the above method to have others join your call; by using the participant URL, others can bypass the wait room and you can being testing out your class right away. If you would like to send out the link to presenters or other hosts before the class starts, you can do so with this participant URL. We recommend that you check and make sure that you have the proper microphone and camera selected, that your audio works, and that you can screen share properly (if applicable). How to Use a Virtual Camera as a Host This article will explain what a virtual camera is and how you can use one to access more camera features. What is a Virtual Camera? In short, a Virtual Camera refers to a software application that allows users to use their computers’ resources during a video call instead of using a live webcam. Using a virtual camera, users can alter their video appearance by adding things such as images and text beneath or beside their face. What Virtual Cameras are available? There are a variety of virtual cameras available for download from the internet. One of the most popular virtual cameras, and the one that will be discussed further, is ManyCam. There website can be found here. A walkthrough of how to download ManyCam can be found here. There are also cameras available specifically for live streaming, meaning that external cameras can be purchased and connected to your computer. For a live streaming camera, you can visit this website to view some of the highest ranked options. We have centers also using Mevo. Common Issues with ManyCam ManyCam is our recommendation for a virtual camera but you might have some questions after first using it. Some of the commonly asked questions are below. How do you zoom in/out of a document being displayed on ManyCam? To zoom in or out of a displayed document or presentation on ManyCam, you can simply hold down the [Ctrl] key while you turn the mouse wheel. More information can be found here. How can I show a powerpoint while having my camera still visible? In order to have your camera still visible, you will add a new panel (found at the bottom of your ManyCam app home screen) in addition to the already existing panel. This article explains in more detail how to set up multiple audio and video sources. How can I display all the participants onto the screen at one time for a chat? To view all of the participants while in a class, simply click on "Change page layout", which will alter the display of the participants. It is currently not possible to view all participants while screen sharing using ManyCam. Other Helpful Notes Consuming Less Memory/Adjusting Frame Rate and Resolution There are a few settings you can alter to reduce memory consumption on ManyCam, which will increase speed. The first of these would be de-accelerate the hardware. This can be done in the "Settings" tab of ManyCam under the "Hardware Acceleration" option (shown below in red). Another recommendation is in regards to frame rate and resolution. You can check your current frame rate and resolution in the top right corner of the ManyCam app (see image below). If you hover over either number with your cursor, a small menu will appear that contains all of the possible frame rates and resolutions (see image below). We advise that for 720p resolution the FPS should should be set to 30. For 1080p resolution, you can set your framerate to be 60. Camera & Microphone Toggling Here is the Host Toolbelt which manages your device settings Host Toolbelt The gear icon (indicated below) is where you can toggle your external cameras or microphones mid-stream. Once you click on this button a menu should pop up similar to the one below (see image). From here, simply click on the dropdown arrow (circled below) and choose which camera/microphone you would like to use for your class. You do not need to refresh your browser, you can easily toggle between different cameras that are connected to your system. Speaker Systems Note: Cameras and microphone in the stream only covers your "input" and the audience "output". If your audio output (what you hear at your end) is not your computer, and a separate speaker system or external monitor then you would have to control those directly from your computer settings. How to Record a Class
How to Record a Class This guide will help you on how to record your class while hosting. The "Record" button is located in the host toolbelt at the bottom of your screen (see image below). Host Toolbelt The "Record" button is the button in the very center of the toolbelt (indicated below). Once you locate it, simply tap on it. Once you tap on the record button, it should turn change color (shown below) and the recording will begin. Record button should turn red around the edge As a host, you control when the recording starts and stops by toggling on the button. Accessing your Recording Televeda does not publish class recordings, but we host the archived clips. To receive a copy of your recording, please email [email protected] with your details. Scheduled Tech Check Guide for Host/Instructor Checklist of the materials needed to run classes: - Laptop or any other device that can connect to an ethernet connection. - Ethernet cord. Connect the ethernet cord to your router and connect it to your laptop. - Camera. We recommend using an external webcam. - Microphone. We recommend using an external microphone or use the built-in mic of the external camera (if applicable). - Backdrop. Find a place with a plain wall or add a green cloth to your background to use a green screen. - Lighting. Natural white light in the room or recommend to use a Softbox Light. How to access your Scheduled Classes Note: Join in the Google Meet Invite scheduled by the Televeda Representative and click Present Now to share your screen Open your Chrome Browser (We highly recommend using Chrome but other browsers can be used as well) Type this in the URL field - https://live.televeda.com/host Input the Username & Password as a Host (will be provided during the Tech Check) Select the Private Test Class from the drop-down list under Scheduled Classes Select the Layout based on your event (2-Way Interactive or 1-Way Broadcast) Click GO. How to use Televeda platform as a Host/Instructor Guide explaining how to use the platform functionalities. Ending a Class: Click the stop button in the bottom host toolbelt. This will stop the class. - After clicking the button, a pop-out window saying are you sure you wish to stop class? will appear. Click OK to end the class. Click Cancel to close the pop-out window. Moderating Audio Microphone Button: This will mute/unmute your microphone. Moderating Video Camera Button: This will turn Off/On your camera. Sharing your Screen Screen Share Button: This will allow you to share another screen with the class. Please review this related Helpdesk article for Screen Sharing on the platform. Recording the class Record Button: This will start/stop recording your class. NOTE: The instructor must manually start and stop the recording, due to privacy concerns classes are not recorded by default and members must be informed before you can record a class. The file will be stored with Televeda admin and not published, please reach out to [email protected] to get access to your recording. Spotlight/Tiled Layout Button: This will allow you to toggle between the spotlight/tiled display on your screen. The main pinned view is what is broadcasted to the entire stream. Spotlight: Host/Instructor Screen display in the middle and participants screen on the side Tiled: All the screens participants & host will be displayed accordingly Chat Button: This will open/close the chat box Input Field: You can type/enter text on this field Send Button: This will allow you to send a message to all participants X: This will close the chat box **Number of Users Icon: **This will show you the number of participants on the class Pin Button: This will allow you to broadcast your screen or a participant screen to the whole class Moderator Panel Switch: This will open/close the Admin panel. Class URL Field: You can get the class URL on this field Participant URL Field: You can get the participant URL on this field Mute All: This will mute all participants microphone Disable Video: This will disable all participants video Participants List: This will display the details of the participants Participant Screen Functionality How to moderate users in a class Camera Button: This will turn Off/On the participant’s video feed. Microphone Button: This will mute/unmute the participant’s microphone. Master Mute Button: This will disable the participant’s mute/unmute button. Creating and Editing Events in the Admin Dashboard
Creating an Event in the Admin Dashboard 1. Log in to the Televeda Admin Dashboard. 2. On the left-hand side, click Schedule, then select Live Events from the dropdown menu. 3. In the upper-right corner, click Create, then select Create Any Event from the dropdown menu. 4. A pop-up window will appear on the right side of the screen. Enter the required event details, including template, event name, community, instructors, category, etc. 5. Click Open Event Description. In the pop-up window, enter a brief description of the event, then click OK when finished. 6. Enter the start date and time of the event. 7. Select the duration of the event, such as 30 minutes, 1 hour, or another available option. 8. Click Save in the lower-right corner of the window. Your event should now be created. You should see it listed on the Live Events calendar. Editing an Event in the Admin Dashboard Note: You can only edit an event if you are an instructor for the community where the event is scheduled. 1. On the left-hand side, click Schedule, then select Live Events from the dropdown menu. 2. On the calendar, click the event you want to edit. 3. Click Edit near the upper-middle part of the screen. 4. A pop-up window will appear on the right side. Make the necessary changes to the event details. 5. Click Save when you are finished. Still have questions?
